Assure Health is looking for an Executive Assistant to support its CEO, Chief Operating Officer (COO), and Chief Delivery Officer (CDO). The Executive Assistant will be responsible for providing executive, administrative, and calendar management support. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. The Executive Assistant must be able to operate under quick timelines and pressure, unplanned events, vaguely-defined projects and initiatives still in concept, and be willing to attempt any task thrown their way. This role will be on-site in our Lauderdale Lakes, FL office.
*Coordinate internal and external meetings for the CEO, COO and CDO including but not limited to one-on-one meetings, team meetings, all hands meetings, off- site meetings, etc.
*Serve as an interface for scheduling with internal team members, external parties, and vendors. Over time, learn to appropriately prioritize meetings, scope length, vet agendas and make sure appropriate information is provided ahead of time
*Embody the “gatekeeper” role, creating win-win situations for direct access to executives’ time, office, and deliverables
*Monitor incoming tickets in Zendesk and make sure they are assigned to the correct parties
*Assist with food orders, luncheon planning, and planning of other business related meetings as requested
*Manage the distribution and sorting of all incoming office mail and prepare mail for daily pick-up or delivery to post office
*Order and maintain inventory of all office supplies, coffee, utensils, etc.
*Plan and handle travel logistics for the Executives as needed
*Complete and take ownership of other special projects as requested
Skills and Qualifications:
*2+ years of prior experience and an Executive Assistant or Administrative Assistant supporting senior level Executives
*Polished and professional presentation with the ability to represent the company in different settings and amongst different audiences
*Excellent communication skills, both verbal and written
*Strong organizational skills and ability to handle concurrent, multiple job tasks with exceptional follow-through
*Proficient in working with the Microsoft Office Suite (Word, PowerPoint, Excel), Google Suite, Slack, and Zoom
*Able to work independently and with minimal supervision
*Startup experience strongly preferred
*Previous experience using a Mac a plus
*Past experience using Zendesk a plus
